Fedex Processing


This is a heads up on the upcoming change on how we process Fed Ex charges.

As you know we have excellent contract prices from Fed Ex through our ARCHE pricing contract.

We currently pay and post Fed Ex charges with an EDI process.  It has been determined
that the EDI process will be discontinued before we go live with our upgrade to
PeopleSoft/Oracle Financials 8.8 on January 1, 2006.

The new payment process will be via Pcard, WORKS payment manager and 'FedEx Ship Manager'.
October 1, 2005 is the date for the change over.

Each Fed Ex account number will be associated with a Georgia Tech (employee's name) Pcard,
exclusive for Fed Ex charges.  They will also have access to the Fed Ex Ship Manager to create
shipping labels and reports.

There are several benefits to the change which include increased security to prevent unauthorized
shipments, shipping reports, verification of rate(s) and an easier process to redistribute project
accounts in WORKS.

Our plan is to distribute our current list of Fed EX accounts to the managers we have on file.  Each
Fed EX account in the list has an employee name, address and telephone number, perhaps they
were the original requestor of the account from Fed Ex.  However, we will expect the manager to
update the list as each employee listed on the account will have a Pcard issued to them for Fed Ex
charges and will be responsible for printing of shipping labels, reports, reconciliation of the Pcard
account and project account redistribution in WORKS.
